HOSPITALS *COPYING FOR FREE? How can Medical Records Now offer this service free of charge? Medical Records Now charges the requestor for copies of the record. The cost of copying medical records is passed on to the insurance company or attorney in accordance with state laws. Of course copies of records sent to doctors and hospitals will always be processed on a courtesy basis (no charge). *you may qualify HOW WE OPERATE Hospitals/Clinics and Doctors Offices An experienced Medical Records Now representative will service your practice once or twice weekly depending on volume of requests. Once a mutually agreed upon day and time is established your Medical Records Now representative will begin servicing your facility. He or she will arrive on the established day with a copier, paper and supplies to set up in an available area, usually an unused exam room, office or break room. Your Medical Records Now representative will then verify the medical records that have been pulled possess the correct patient authorization as by law according to federal, state and HIPAA guidelines. Exactly what information is being requested is then identified and copied. Your Medical Records Now representative will sign, date and file the original request letter and patient authorization as confirmation of completion. Once all charts are completed your Medical Records Now representative will then alphabetically log in your logbook, which will be kept in your office. This logging system will assist you if you receive calls from requestors. Medical Records Now will also provide your office with our toll free help line that you can give out to insurance companies or attorney's offices that will assist them with any questions they may have. Once copied the records will then be securely delivered to our home office. The records will then go through our quality assurance check to ensure that the correct information is being sent. The records will be mailed out within 48 hours of being copied. It is Medical Records Now goal to make this process as painless and hassle free as possible.
